This is a Permanent, Full Time vacancy that will close in {x} days at {xx:xx} BST.

We’re looking for a compassionate and organised Ward Clerk to join our In-Patient Services team. This is a full-time position, although part-time hours may be considered for the right candidate. You’ll be an important first point of contact for patients, families, visitors and professionals, providing high-quality administrative support that helps our 28-bedded specialist palliative care unit run smoothly. Working alongside nursing, medical and administrative colleagues, you’ll ensure information is accurate, communication is effective and patients and those important to them remain at the heart of everything we do.

 

Key Responsibilities

 

  • Act as a professional and compassionate first point of contact for patients, relatives, carers, visitors and members of the multidisciplinary team.
  • Manage ward enquiries, receive and accurately relay messages, and direct clinical or managerial matters to the appropriate colleague.
  • Prepare, maintain and securely manage patient records for admissions, transfers and discharges, ensuring documentation and electronic systems are accurate and up to date.
  • Process correspondence, diagnostic reports and clinical information in line with confidentiality, data protection and information governance requirements.
  • Liaise with hospitals, GPs, community services and internal departments to support appointments, discharge planning and continuity of care.
  • Maintain ward information, administrative supplies and equipment loan records, and provide general clerical support to the In-Patient Services team.
  • Support patients, families and carers sensitively, including during distressing circumstances and following a patient’s death.
  • Build positive working relationships across the hospice and provide administrative cover where required to maintain continuity of service.

 

About You

 

You’ll have previous administrative or clerical experience and be educated to GCSE level, or equivalent, including English and Mathematics. An NVQ Level 2 or 3 in Business Administration, Customer Service, or equivalent experience is also required. You’ll be confident using Microsoft Office and electronic systems, with strong organisational skills, accurate data entry and record management, and excellent written and verbal communication.

 

Just as importantly, you’ll bring a calm, professional and welcoming manner, with the compassion and sensitivity needed to support people who may be anxious, distressed or bereaved. You’ll be reliable, attentive to detail and able to prioritise a busy workload, use your initiative and work effectively as part of a multidisciplinary team. Experience in healthcare or hospice administration, using an electronic patient record system such as SystmOne, or supporting people through difficult circumstances would be an advantage.

Salary: £25,009

Hours: 37.5 hrs to cover Monday to Sunday 8am-4pm

Part time hours considered
